Clubhouse Reservations

To reserve the clubhouse:
Review the clubhouse rules below and the cleaning and equipment checklist
Check the community calendar to determine if the clubhouse is already booked for the time period you want.
Submit information to clubhouse manager: Date, time of start and finishing time, number of people. Only owners or residents in good standing can rent the clubhouse. When entering the event duration include the time you will need for setup and cleanup.
The clubhouse manager will contact you to arrange a walk-through and give you a pass code to access the clubhouse key in the lock box.
A $100.00 returnable deposit check is required at the time of the walk-through. The check will be returned after your event is all the cleanup requirements are completed. The check should be made out to Grand Pointe East HOA.
Clubhouse Rules
All decorations to be used in the clubhouse or clubhouse grounds require approval by the Clubhouse Manager. No decorations are permitted that will cause damage to the walls, floor, woodwork, windows, doors or any other part of the clubhouse.
All furnishings must be returned to the location they were originally found prior to the event.
The clubhouse must be locked and the key returned to the lock box when you leave.
Additional event items needed such as tables and chairs are the responsibility of the User. Any special arrangements that may be required must be communicated in advance of the event with and approved by the Clubhouse Manager.
Reserving the clubhouse does not reserve the pool. GPE members have the right to use the pool and bathrooms during your event.
The Club Manager has the right to be present or to visit the clubhouse during the scheduled event to ensure all rules and policies are being followed. If violations are noted and not corrected, the Clubhouse Manager may end the event with possible loss of deposit.
The User must ensure that music and event activities do not disturb area residents. If excessive noise complaints are received and not corrected, the Clubhouse Manager reserves the right to end the event with possible loss of deposit.
The User may not charge admission to the clubhouse event.
The Clubhouse Manager reserves the right to require an off-duty police officer to be present during the entirety of the event at the expense of the User if deemed necessary.
There is NO SMOKING at any time in the clubhouse or on clubhouse grounds.
If deemed necessary based on the nature of the event, or if requested by the User, the Clubhouse Manager may charge a cleaning fee to be paid in advance of the event.
Since vehicle parking area is very limited at the clubhouse, the User should advise guests to park in available curbside parking areas.
At end of event, kitchen, bathrooms and main clubhouse event area must be clean; all personal items and decorations must be removed; all lights must be turned off and the thermostat reset; clubhouse exit doors and the door leading to the restrooms must be locked; all trash cans must be emptied and replaced with new liner. You can put the trash in the Clubhouse Wastepro can.
GPE CLUBHOUSE MANAGER REMINDERS
Responsibilities: The Clubhouse Manager (CM) maintains a calendar of availability and schedules use of the clubhouse, monitors the cleanliness of the clubhouse spaces, and ensures there is an adequate supply of paper products, trash bags, hand soap and cleaning chemicals. When supplies are needed, the CM purchases needed supplies and submits a receipt to the HOA Treasurer for reimbursement. The CM communicates directly with the HOA President and VP during he absence of the president.
Monitor the Clubhouse: The CM routinely monitors the cleanliness of the clubhouse spaces, and as needed each 1-2 months, schedules cleaning of the area(s) requiring attention. The HOA typically pays $50-60 for cleaning of all usable inside spaces, and $20-30 for restrooms only. The CM manages the inventory of supplies as explained above, and restocks restroom items as needed. The CM coordinates with the HOA President or Vice President to report or discuss items of concern.
Clubhouse Reservation Coordination: The CM will maintain adherence to the Clubhouse reservations rules outlined in the GPE website. GPE owners are required to pay the $100. refundable reservation deposit. GPE officers and CM are required to follow prescribed clubhouse use rules; however, they are not required to pay the $100. deposit. Immediately following a scheduled clubhouse event, the CM will inspect the clubhouse for cleanliness storage of tables and chairs, and proper setting of the thermostat (80 degrees in summer, 60 degrees off season).
Borrowing of Tables and Chairs: Owners may short term (!-3 days) borrow tables and chairs provided there isno conflict with their need for a scheduled clubhouse event. The CM will ensure all borrowed items are returned in a timely manner.
